Paperwork without panic

Track death certificates and the accounts that may need them.

Some organizations need a certified copy, others only need notification or their own form. Start with the institutions that actually apply to the person who died rather than ordering a large number from fear.

Do not guess a magic number

There is no single number of certified death certificates that is right for every family. Before ordering extras, ask each relevant organization whether it needs a certified copy, accepts another form, or can verify the death another way.

Official requirements vary.

State vital-record rules, eligibility to order a certificate, fees and document requirements can change. Use the official state source linked below.

Use this printable list to record what each organization tells you. It is an organizer, not a statement that every item below needs a certificate.

For each organization, write down

Who I spoke to · date · whether notification is enough · whether a certified copy is needed · whether it is returned · what authority they need from the person handling the estate · next step.

Keep one practical rule in mind.

Do not send away your only certified copy unless the receiving organization has clearly explained its process. Ask whether it will be returned and whether an electronic or in-person alternative exists.
